As a Workplace Venue Specialist, you will own the operational delivery and logistics for events across Wise’s on-site spaces. Acting as the operational “conductor” of the venues, you’ll ensure rooms are booked accurately, configured safely to specifications, supported with the right AV and services, and reset to a high standard. Reporting directly to the Workplace Operations Manager within the Workplace team, you’ll collaborate on broader team initiatives to deliver a world-class experience for Wisers and contribute to key workplace projects. You’ll support an average of more than 10 events per week across two primary event spaces: an auditorium-style space with capacity for more than 200 people, and a 145-person event space that can be divided into three areas with capacity for 30–50 people each. You’ll also support a 45-person training room and meeting-room bookings and logistics.
You will act as the primary operational owner for on-site event-space bookings, configuration logic and venue availability across all office spaces. You’ll own the master venue calendar, applying clear judgement and prioritisation rules to resolve complex booking conflicts independently and transparently. You’ll evaluate event briefs, advise organisers on room sizes, split-room layouts and capacity limits, and ensure operational briefs covering layouts, AV specifications, access and security, catering and drinks, timings, and cleaning resets are fully captured and vetted before event approval. You’ll monitor booking data and space-usage trends, identify operational bottlenecks, and own and improve the event-support helpdesk system, request workflows and service-level tracking.
You’ll translate organiser requirements into on-site execution plans covering turnaround timelines, wayfinding, space layouts and operational supplies. You’ll coordinate with IT/AV, Security, Facilities and external catering vendors, align timelines and service expectations, handle live escalations, and use real-time judgement to resolve operational or technical issues during events. You’ll design and refine operational playbooks and checklists for recurring event formats.
You’ll line-manage the porter team, overseeing planning, task allocation and coverage during peak periods, including early and late support where needed. You’ll train and coach the team on safe set-ups, customer-service expectations, space standards and consistent execution, and plan for scaling the team as the new building opens. You’ll manage the vendor relationship directly with the business partner.
You’ll work effectively with Wiser organisers, maintaining clear boundaries between Workplace logistics and organiser-owned content and communications. You’ll coordinate with Security on external-attendee access and procedures, and with cleaning vendors and the Facilities Supervisor to ensure spaces are event-ready and reset to business-as-usual standards. You’ll communicate proactively when requirements are unclear, lead times are insufficient or plans introduce risks relating to capacity, safety, timings or access.
You’ll ensure compliance with health and safety, fire regulations, capacity limits and egress requirements. You’ll own standards for cleanliness, room condition, furniture and equipment readiness, and storage discipline, while tracking operational issues and implementing improvements to turnaround times, AV problems, organiser gaps and vendor reliability.
Wise is looking for experience in venue operations, workplace or event logistics, hospitality operations, or facilities-adjacent event delivery in a fast-paced environment with a high frequency of events. You should be comfortable managing competing priorities with minimal day-to-day supervision, regularly moving between buildings and venues, and providing hands-on support during set-ups and resets. Experience managing front-line operational teams, including scheduling, coaching and performance management, is required. You should be confident engaging with senior stakeholders, making pragmatic decisions under pressure, coordinating AV readiness and troubleshooting basic issues, and working with workplace and booking systems. The ideal candidate is calm, detail-oriented, service-led and solutions-focused.
